A US number for agencies with US clients

Put a +1 number on your website and proposals, so US clients can call the people who run their account.

Short answer

Agencies outside the US put a US virtual number on their website and proposals so US clients can call a familiar +1 number. Each TripoSIM number is one person's line in an app, with 300 minutes a month of calls to the US and Canada, voicemail and incoming texts. One person can hold several numbers, for example one per client brand.

Why put a US number on your agency's website?

A US company comparing agencies looks at the contact page. A +1 number tells them there is someone they can call without thinking about international rates or dialing codes. It also gives your proposals and invoices a contact line that matches the rest of their vendor list.

The TripoSIM US Virtual Number runs in an app on your phone over Wi-Fi or mobile data. Calls ring like a normal call wherever your team works. When nobody answers, callers leave a voicemail.

Where should the number appear?

  • Website: the contact page and footer, written as +1 and ten digits, with a tap-to-call link.
  • Proposals and statements of work: next to the account manager's name, with their hours in the client's time zone.
  • Email signatures and invoices: the same number, so clients do not have to guess which one to use.

Do not suggest you have a US office if you do not. "US line, answered from our studio in Kraków, 9 a.m. to 1 p.m. ET" is honest and clear. The business contact checklist has sample copy.

One number for the agency, or one per client?

Each TripoSIM number is one person's line in their own app. It is not a shared line that rings several people. So the question is who answers.

Three ways to set up US numbers in an agency
SetupFits whenHow it works
One agency lineA small studio where one founder takes all US callsOne number on the website, proposals and invoices
One line per account managerTwo or three people who each look after their own US clientsEach person gets their own number, app and ID check
One line per client brandYou run white-label work or separate brands, each with its own greetingOne person can hold several numbers, each with its own plan

One person can have as many TripoSIM US numbers as they like on one account, each with its own plan, minutes and voicemail greeting. That suits an account manager who wants a separate line for each client brand, so the greeting names the right brand.

How many minutes does an account manager use?

Calls clients make to you are included up to a fair use of 300 minutes a month. Only calls you place use the 300 outgoing minutes. Each outgoing call is rounded up to the next full minute; unanswered calls are free. Three account managers, worked out for a year:

Calls an account manager places to US clients, on one line
ExampleCalls out to the US and CanadaExtra minutesOne year on the yearly plan
One client1 status call a week of 30 minutes, plus 2 quick calls of 10 minutes: about 217 minutes a monthNone: within the included minutes$100
Two clients2 status calls a week of 30 minutes, plus 2 quick calls of 10 minutes: about 347 minutes a month6 × $5 = $30 a year$130
Four clients4 status calls a week of 30 minutes: about 520 minutes a month27 × $5 = $135 a year$235

Incoming calls do not use your minutes (fair use 300 minutes a month). Each plan includes 300 minutes a month out; extra minutes are $5 per 100, and unused extra minutes carry over to the next month, so the year counts the packs for all 12 months together. Prices before tax.

For the four-client manager, one line with extra minutes comes to $235 a year. Four lines on the yearly plan come to $400, with 300 minutes each. Separate lines make sense for separate brands or greetings, not to save money. The monthly plan is $12.99 a line if you only need a number for a short project.

What does fair use mean for an agency?

The number is for personal and small-business use. Account managers calling their own clients, and clients calling them, is exactly that. Some things are not allowed, or do not fit:

  • Call centers, spam and robocalls are not allowed. The number is not for bulk campaigns or calling through lead lists for clients.
  • A busy support desk outgrows it. After 300 incoming minutes in a month, callers reach voicemail until the next month.
  • Calls out go to US and Canadian numbers only. Anyone can still call the number.

What about texts and verification codes?

The number receives texts from US and Canadian senders, but sending texts is not included. Tell clients to use email or your shared chat channel for written questions, and write "call or email" on your site.

The number also receives verification codes (OTP SMS) from apps, which helps with the agency's own accounts. For client ad, analytics and social accounts, keep sign-in on the client's own details where you can. If a plan ends, the number is kept 30 days on the yearly plan or 90 days on the monthly plan, then released. A login tied to a released number is hard to get back. Our guide on number recycling explains the risk.

A first-week setup

  1. Day 1, who answers: list your US clients and the person who owns each relationship.
  2. Day 2, the numbers: each person passes the short ID check (photo ID and selfie) and picks an area code near their main clients. See the area code list.
  3. Day 3, greetings: record a greeting with the brand or agency name, hours in ET or PT, and when you call back.
  4. Day 4, documents: update the website, proposal template, signatures and invoices.
  5. Day 5, a test: call each line during and after hours, with the app open and closed, and check the voicemail arrives.

Write down who owns each number, and decide before anyone leaves what happens to it.

When is another option better?

  • Clients expect text replies from the number: the TripoSIM number receives texts only. A provider with two-way texting suits you better; see providers compared.
  • Several people must answer one line: call queues, ring groups and shared inboxes need a business phone system built for teams.
  • You run outbound sales at volume: call centers and robocalls are not allowed, and the minutes are sized for client calls, not sales campaigns.
  • Your clients are mostly outside the US and Canada: calls out reach US and Canadian numbers only.
